For the purposes of UK data protection law, Bray Tutoring Limited is the Data Controller of your personal data.

Changes to the privacy policy and your duty to inform us of changes

We keep our privacy policy under regular review. It is important that the personal data we hold about you is accurate and current. Please keep us informed if your personal data changes during your relationship with us.

The type of personal information we collect

We currently collect and process the following information:

  • Identity Data: includes first name, last name, your child’s name, your child’s date of birth, your child’s school year and your child’s educational background. We collect most of this information from you at the start of tutoring or when changes have been made
  • Contact Data: includes email address, home address, telephone numbers.
  • Financial Data: includes bank details and payment card details.
  • Transaction Data: includes details and payments to and from you.
  • Technical Data: includes login data.
  • Profile Data: includes purchases or orders made by you, your preferences, feedback and survey responses.
  • Usage Data: includes how you use our website, products and services.
  • Marketing and Communications Data: includes your preferences in receiving marketing from us and our third parties and your communication preferences.

How we get the personal information and why we have it

Most of the personal information we process is provided to us directly by you for one of the following reasons:

  • To manage our relationship with you 
  • To manage, process and deliver our tuition services
  • To manage financial obligations
  • To send you marketing about new products or services

We also receive personal information indirectly, from the following sources:

  • Automated technologies or interactions: As you interact with our website, we may automatically collect Technical Data about your browsing actions and patterns. We collect this data by using cookies and other similar technology.

We use the information that you have given us to:

  • contact you regarding your child and tuition;
  • improve Bray Tutoring Ltd
  • ensure we deliver a good service
  • we may periodically send promotional newsletters or emails about our work, events, workshops or other information which we think you may find interesting using the email address which you have provided
  • notify you of any changes to Bray Tutoring Ltd’s service.
  • where we need to comply with a legal or regulatory obligation.

We may share this information with tutors working with Bray Tutoring Ltd.

How we store your personal information

Your information is securely stored. 

We retain personal data only for as long as necessary to fulfil the purposes for which it was collected.  We do not store copies of DBS certificates. We record confirmation of DBS status only, where applicable.

The length of time we keep personal data depends on the type of data and the purpose for which it is processed.

In general:

  • Student and parent records (including contact details, tuition records, and progress notes) are retained for up to six years after tuition ends.
  • Financial and transaction records are retained for at least six years to meet HMRC and accounting requirements.
  • Safeguarding records are retained in line with safeguarding legislation and best practice, typically until the child reaches the age of 25 or for at least seven years after last contact, whichever is longer.
  • Tutor and staff records are retained for up to six years after the end of engagement.
  • Marketing data is retained until consent is withdrawn or the data is no longer required.

Personal data is reviewed regularly and securely deleted or anonymised when it is no longer required.

Your data protection rights

Under data protection law, you have rights including:

Your right of access – You have the right to ask us for copies of your personal information. 

Your right to rectification – You have the right to ask us to rectify personal information you think is inaccurate. You also have the right to ask us to complete information you think is incomplete. 

Your right to erasure – You have the right to ask us to erase your personal information in certain circumstances. 

Your right to restriction of processing – You have the right to ask us to restrict the processing of your personal information in certain circumstances. 

Your right to object to processing – You have the the right to object to the processing of your personal information in certain circumstances.

Your right to data portability – You have the right to ask that we transfer the personal information you gave us to another organisation, or to you, in certain circumstances.

Where processing is based on consent, you have the right to withdraw that consent at any time.

You are not required to pay any charge for exercising your rights. If you make a request, we have one month to respond to you.
